AEL Microsystems Limited, collects, uses and is responsible for certain personal information about you. When we do so we are regulated under the GDPR which applies across the European Union (including the UK) and we are responsible as ‘controller’ of that personal information for the purposes of the GDPR. The GDPR will be supplemented in due course by additional UK specific data protection legislation.

What information we collect from you

We aim to limit the information we collect about you to only what we think is required for the purpose for which we collect it.

When you visit our website, we may collect technical information relating to your use of our website, including your browser type or the internet protocol (IP) address used to connect your computer to the internet.

As the information we collect about you may be stored on our internal IT infrastructure, it may also be shared with our data processors who provide email, anonymous analytics, document management, and storage services to us.

We also collect your information when you visit out offices, apply for a job, you are a contractor of supplier, or you purchase one or our products or services.

How do we use your information

Website comments

When visitors leave comments on our website, we collect the information shown in the comments form, an also the visitor’s IP address and browser user agent string to help spam detection.

Any anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it.

After approval of your comment, your profile picture is visible to the public in the context of your comment.

Website media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Website cookies

If you leave a comment on our website you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment, these cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal information and is discarded when you close your browser.

Website analytics

We use Google Analytics cookies, which report to Google how out web pages and Adword advertisements have been used. This information is available to us only in an aggregated form, so that we can never identify a particular user. Responsibility for safeguarding this data rests with Google. You can set preferences in your own browser, for each machine you use.

How long do we retain your  information

All personal information is kept no longer than is necessary and the length of time will vary depending on the activity by which you personal information is obtained, or as is required by law, if that is longer (for example, in order to comply with HMRC requirements).

For determining when personal information should be erased we take into consideration: the amount of and sensitivity of the personal information we have; the amount of harm that could be caused by a data breach; the benefits of the purposes the information is being used for; and any legal requirements we are bound by.

You may request that we erase your personal information at any time. In some cases where there is a relevant or legal reason that requires us to keep the information, we may opt to restrict the amount of processing being conducted to what is absolutely necessary. Website comments

If you leave a comment, the comment and its metadata are retained indefinably,  this is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, erase, or delete their personal information at anytime (except they cannot change their username). Website administrators can also see and edit that information.

6 years after the end of the year or accounting period from the end of the contract last purchase. (Limitation Act 1980 and HMRC/VAT requirements)

Emails to AEL Microsystems Limited

Emails will be deleted automatically after a maximum of 10 years, unless separately preserved for other lawful reasons.

Visitors to our offices

We use CCTV cameras for crime prevention and security purposes. Images will be kept for 31 days from the date of the image.

Unsuccessful job applicants

Unsuccessful candidates will have their application including CV and cover letter and interview notes stored for 1 year from the interview date to defend against tribunals, or county or high court claims and for as long as necessary in the event of a claim.

Who we share your information with

We do not share or will sell you personal information to any third party.

We will share your personal information if we are required to do so by law.

Your rights

Right of access – You have a right to ask to see what information we hold about you.

Right to rectification – You may ask us to rectify information you think is inaccurate or incomplete.

Right to erasure including retention and disposal – You have the right to be ‘forgotten’. If you have no contract with us this can be done immediately. If you have a contract with us, we must retain the relevant information for seven years. Information older than this can be deleted, though we need to retain your name in our archives as a marker for past transactions.

Right to restrict processing – In this case we can retain your information but not use it.

Right to portability – You have a right to obtain your personal information from us and ruse it for your own purposes.

How we protect your information

All our computers are protected by firewalls and reputable anti-virus software to which all patches and updates are applied as soon as they become available. External servers are similarly protected and provided by organisations we trust. Our computers and programmes are protected by strong passwords, this information is in hard form and kept locked in draws or filing cabinets.

We may transfer your personal information to countries which are located outside the United Kingdom as follows:

  • Where using outsourced IT or other administrative support services.
  • When you are located outside the United Kingdom

Such countries do not always have the same data protection laws as the United Kingdom but will ensure that where information is transferred to a country or international organisation outside the United Kingdom, we will comply with the relevant legal rules governing such transfers that are designed to help safeguard tour privacy tights and give you remedies in the unlikely event of a misuse of your personal information.
